Clear, human, authentic

Microsoft's voice has four defining qualities. Every piece of communication should embody all four.

01 / 04
Warm & Relatable
We speak like a trusted colleague — approachable, human, and never corporate-robotic. Our language connects with real people solving real problems.
✓ Do
"Get more done with tools that work the way you do."
✕ Avoid
"Leverage synergistic productivity solutions."
02 / 04
Inspiring & Motivating
We believe technology should uplift. Our words help people see what's possible — not what they lack. We focus on potential, not limitations.
✓ Do
"Imagine what you could build with the right tools."
✕ Avoid
"Without this, you'll fall behind competitors."
03 / 04
Open & Collaborative
We include everyone. Our language is respectful of diverse backgrounds, abilities, and perspectives — never exclusionary or gatekeeping.
✓ Do
"Works with the tools your team already loves."
✕ Avoid
"For power users who know what they're doing."
04 / 04
Simple & Direct
We cut the fluff. No jargon, no buzzwords, no hiding behind complexity. We say exactly what we mean, simply and confidently.
✓ Do
"Works offline. Syncs when you're connected."
✕ Avoid
"Facilitates asynchronous data reconciliation."

The brand rules

Four-color symbol is sacred
The four brand colors in the symbol must always appear in the correct positions: Red top-left, Green top-right, Blue bottom-left, Yellow bottom-right.
Use brand colors as accents
Individual brand colors may be used as accents in marketing materials — never as backgrounds behind the full logo.
!
Accessibility contrast
Ensure WCAG AA compliance (4.5:1 contrast ratio) for all text. Microsoft Yellow on white fails contrast — use it for decorative elements only.
No tints or modified hues
Never use tints, shades, or modified versions of the four brand colors. Only use the exact HEX values specified in the guidelines.
Neutral palette support
Use #737373 Neutral Gray and blacks/whites as the dominant canvas. Brand colors should punctuate, not overwhelm.
Microsoft Blue for interactive UI
#00A4EF is the primary interactive color for links, buttons, and focus indicators across Microsoft digital products.
"Works with Microsoft" phrasing
Partners may say their product "works with," "integrates with," or "is compatible with" Microsoft products using wordmarks only.
No implied endorsement
Partner marks must never suggest Microsoft endorses, sponsors, or affiliates with the partner's products or services.
!
Logos require licensing
Use of Microsoft logos, app icons, or the four-color symbol always requires an express license. Wordmarks only are generally permissible.
Certified partner badges
Use only official certification badges (e.g., "Microsoft Teams Certified") provided through the Microsoft Partner Network program.
No domain use
Microsoft trademarks cannot be included in any domain name, company name, product name, or trade dress without prior approval.
Proper attribution format
When referencing Microsoft trademarks, use: "Microsoft [Product] is a registered trademark of Microsoft Corporation."
Segoe UI for all digital UI
All Microsoft product interfaces use Segoe UI. Third-party apps using "Sign in with Microsoft" must match the approved button style.
Fluent Design language
Microsoft products follow the Fluent Design System — acrylic materials, depth, motion, and scale applied consistently across platforms.
!
Icon system from Fluent UI
All icons must be sourced from developer.microsoft.com/en-us/fluentui. Never create custom icons that mimic Microsoft's icon style.
No Segoe for non-Microsoft UI
Segoe UI is a proprietary Microsoft font. It must not be used in third-party application interfaces or marketing materials.
Dark mode support
All Microsoft digital products must support light and dark modes with approved color tokens from the Fluent design token system.
Accessibility first
WCAG AA compliance is mandatory. All interactive elements require keyboard navigation support and proper ARIA labeling.
